Overview

RIO Education uses Facility records to represent buildings and rooms belonging to a particular Location (Campus) Account.

These are then used during scheduling to make sure no classes are held at the same time in the same space.

If you are using our Housing extension, Facility records can also be used to represent student accommodation/dormitories, to make sure students are assigned suitable lodgings.

Please refer to our Session Scheduler documentation for instructions on how to perform this scheduling.

As an example, your campus might have a North Building and a South Building. You should create two Facility records to represent this, and then under each record, create further Facilities to represent the lecture halls, classrooms, computers labs, and libraries as needed.

Important fields

Field name Description
Account Lookup to the Campus account
Parent Facility An optional field to group a facility under a parent facility. For example, use this when the record represents a room in a building.
Capacity Used to record the capacity of this facility, e.g. a lecture hall with 100 seats
Facility Type

Used in Session Scheduler‍ to identify the suitability of a facility for the selected Session record. By default the values are:

  • Building
  • Cafeteria/Food Hall
  • Classroom
  • Computer Lab
  • Gymnasium
  • Health Center
  • Laboratory
  • Lecture Hall

When a Facility is created/updated, a new Resource will be created and linked to the Facility if there isn’t one yet. This Resource object will be used behind-the-scenes during the scheduling, booking and conflict detection process. There isn't much need to directly interact with it. The Resource will have the following info:

Target field (Resource) Source field
Name Facility.Name
Resource Type Link to a resource type record called “Location” (this will be created automatically if it does not exist).
Facility Facility.Id
Active Checked (default)
facility object room building
