RIO Challenge v4 - C01.02 - Study Term Setup

 

Study Terms serve to represent the academic year and semesters of an Educational Institution.

These Study Terms will indicate the duration of study, in which students can enroll to courses, and classes will be scheduled.

Follow this exercise to see how the program administrator can set up Study Term records to represent the academic year and semesters.

  1. Understand the steps required to set up Study Terms.
  2. Understand the 2 types of Study Terms, which are the Academic Year, and the Academic Term.

  1. Able to set up an Academic Year, which is made up of 2 Academic Terms.

Steps to complete the challenge

RIO University is setting up its academic years and semesters. Each year consists of 2 terms.

 

 

Before the next year begins, the program administrator will need to prepare these records, so that students can enroll into the upcoming terms next year.

As the program administrator, you will need to create Study Term records for the upcoming academic year and semesters.

 

  1. Click on the 'RIO Challenge v4' tab at the bottom left of the page. Click on 'Initiate Challenge' to generate the data required for this challenge.


     
     
     
  2. From the App Launcher, search for ‘Individual Program Enrollments’ and open it.





    Then, select the list view 'C01.02 - Study Term Setup' and open the record created for this challenge.




     
     
  3. The Individual Program Enrollment is a record of a student's enrollment into a program.
     
    In this case, Fred Smith is enrolled into the Undergraduate Program.

    Navigate to the ‘Enrollments’ tab to open the Enrollment Wizard.

    You can see that Fred Smith is an ongoing student.

    Fred is currently in his 4th semester (Term #4).






     
  4. Click on the 5th tile.

    This will be Fred's next Term (Term #5), which has not started yet.

    Click on the ‘Select Term’ button, and notice that no Term is available for selection.





    This is because no Terms are created yet for the upcoming year, which we will create in the steps below.
     

     
     
  5. Go to the 'Accounts' tab, and select the list view 'C01.02 - Study Term Setup' to find all the Accounts created for this challenge.




    Click to open ‘C01.02 - RIO University’.



     
  6. Go to the ‘Academic Year And Terms’ tab, and review the Study Term records.




    Notice that no record is created yet for next year.

    As the program administrator, you will need to create Study Terms for the upcoming year.

    Recall earlier that each Year consists of 2 Terms.

    Thus, you will need to create 3 Study Term records.





     
  7. Click on ‘New’ to create a new Study Term for the upcoming academic year.

  • For example, today is 19/03/2024.
  • Add 6 months to the current month.
  • So, 6 months after today will be 19/09/2024.
End Date

17 months after today

 

  • For example, today is 19/03/2024.
  • Add 17 months to the current month.
  • So, 17 months after today will be 19/08/2025.

 

  1. The Study Term has been created for the next academic year.

    Now, click to enter into the Study Term record that you have just created in the previous step.

    Then, navigate to the ‘Academic Term’ tab, and create 2 new Study Terms for the 2 upcoming Terms.

  • Add 6 months to the current month.
  • So, 6 months after today will be 19/09/2024.

  • For example, today is 19/03/2024.
  • Add 11 months to the current month.
  • So, 11 months after today will be 19/02/2025.
Census Date 7 months after today
Enrollment Open Date 5 months after today

Name C01.02 - Future Term 2
Type Semester
Start Date

12 month after today

 

  • For example, today is 19/03/2024.
  • Add 12 months to the current month.
  • So, 12 months after today will be 19/03/2025.
End Date

17 months after today

 

  • For example, today is 19/03/2024.
  • Add 17 months to the current month.
  • So, 17 months after today will be 19/08/2025.
Census Date 13 months after today
Enrollment Open Date 11 months after today

 

         Note: ‘Census Date’ is the date where enrollment into Study Offerings (courses) is finalized for the Term. Enrollment will be closed after that date.

 

 

  1. The records for the 2 upcoming Terms have been created.

    Notice that the ‘Enrollment Open Date’ is still in the future, since both records are for Future Terms 1 and 2.

    This means that enrollment for Study Offerings (courses) in Future Terms 1 and 2 will not be opened yet.

  2. With the Study Terms for the Future Terms 1 and 2 created, let's revisit Fred Smith's Individual Program Enrollment record, and see how these Future Terms will be displayed on the Enrollment Wizard.

    From the App Launcher, search and go to the ‘Individual Program Enrollments’ tab.




    Filter by the list view ‘C01.02 - Study Term Setup’, and open the record created for this challenge.
     


     
  3. Navigate to the ‘Enrollments’ tab and select the 5th tile, which will be Term #5 for Fred Smith.

    Recall that there was no Term to select earlier. 

    Click on the ‘Select Term’ button, and notice that you are now able to select the new Future Terms that you have just created.







    You will be able to select Fred Smith's Term #5.






    You will also be able to click on the 6th tile, and select Fred Smith's Term #6.





    Note:

    Even though the Terms are created, you will need to create Study Offerings for students to select and enroll into.
    Try out this exercise here, to discover how Study Offerings are created for each Term.


     
     
  1. Congratulations, you have completed the challenge! Click on the 'RIO Challenge v4' tab at the bottom left of the page, and click on 'Complete Challenge'.
