RIO Challenge v4 - C04.07 Auto Enrollment
Auto Enrollment automates the process of enrolling students into their Study Offerings based on their eligibility and enrollment status. This feature ensures students in the same intake are automatically enrolled in the correct terms and required study units.
In this challenge, you will observe how the Auto Student Enrollment wizard behaves based on a student's Study Intake and previous term.

Steps to complete the challenge
Auto Student Enrollment automates the process of enrolling students into the Study Term and required Study Units based on eligibility and enrollment status.
In this challenge, you will review existing Individual Program Enrollments (IPEs) for two students, a freshman and a sophomore, and perform Auto Enrollment to observe how the process differs between them.
- Click on the ‘RIO Challenge v4’ tab at the bottom left of the page. Click on ‘Initiate Challenge’ to generate the data required for this challenge.

- Go to the 'Contacts' tab, and select the list view 'C04.07 - Auto Enrollment' to find the record created for this challenge.

- Select ‘C04.07 - Fred Smith’ contact.
Navigate to the ‘Enrollments’ tab, and select the Individual Program Enrollment record created for this challenge.
- Observe the Study Intake and the pathway.
Notice that Fred Smith is a freshman who has just started his program, and have already enrolled in his first term.
However, he has yet to enroll into any Study Units.
- Repeat Step 3 and 4 for John Doe.
Notice that John is a Sophomore, and has yet to enroll to his third term.
- From the App Launcher, search for ‘Study Term’.

Select the list view ‘C04.07 - Academic Terms’, and click into ‘C04.07 - Current Term’
- Navigate to the Auto Student Enrollment tab.
- Click ‘New’ to create a new Auto Student Enrollment job.

- Fill in the information as below:

| Please select the target Campus | C04.07 - Sydney Campus |
| Please select the target Study Program | C04.07 - RIO Undergraduate Program |
| Please select the target Study Intakes |

Then, click ‘Next’.
- The next screen will give a calculated number of the eligible students for each intake.
Once you have confirmed the selection, click ‘Next’.
- We would like all students to enroll into the required Study Units, regardless of potential pre-requisites.
Fill in the information as below:
| Would you like to enroll the students in the mandatory study units? | Yes |
| Do you want to bypass the requirement rules? | Yes |
Click ‘Next’.
- Notice that the students in Study Intake ‘C04.07 - Current Term Study Intake’ is only eligible for Unit Enrollment. This is because the students in this intake have already enrolled into the selected term.
However, the students in the Study Intake ‘C04.07 - Previous Term 2 Study Intake’ have yet to enroll in the term, so they are eligible for both Term Enrollment and Unit Enrollment.
Click ‘Add Job’ to start the auto enrollment process.
- Notice that a new Job Queue Group record has been created, and in currently processing.

Refresh the browser, and the Status should be updated to ‘Completed’.
- Return to Fred Smith's and John Doe's Individual Program Enrollment.
Notice that both students are now enrolled into the new Study Term, and only the required Study Units.
In Fred Smith's case, he will still have to manually enroll into the optional Study Units.
- Congratulations, you have completed the challenge!
Click on the ‘RIO Challenge v4’ tab at the bottom left of the page, and click on ‘Complete Challenge’.
