RIO Challenge v4 - C07.01 - Percentage/Letter Grading

Study Grade Settings represent a university's grading criteria for its students.

This is where the university can define what grade and result will a student earn if they scored within a certain range.

Follow this exercise to see how the Study Grade Schemes are set up for an Undergraduate Program and release a grade based on Percentage/Letter.

Learning outcomes

  1. Learn how to set up a grading scheme for an Undergraduate Program and automate the process of filling in necessary fields when releasing grades for a unit using either Letter or Percentage value.

What does success look like?

  1. Able to set up a grading scheme for an Undergraduate Program and release grades.

Estimated time to complete

20 minutes.

Steps to complete the challenge

Fred Smith is a student who is taking the Study Units ‘CE104’ and ‘AC104’.

Fred has completed the exams, and the faculty has completed marking them.

Now, as the Assessment Officer, you will release the grades of both Study Units for Fred Smith.

  1. Click on the 'RIO Challenge v4' tab at the bottom left of the page. Click on 'Initiate Challenge' to generate the data required for this challenge.

  2. Go to the ‘Individual Program Enrollments’ tab and select the list view ‘C07.01 - Percentage/Letter Grading’ .

Open the Individual Program Enrollment record belonging to ‘C07.01 - Fred Smith’.

  3. An Individual Program Enrollment record keeps track of a student's program enrollment and their progress.

Navigate to the ‘Program Completion’ tab.

The program completion tab shows the overall progress of the enrolled program with other details such as Enrollment Status, Credits Earned, Completion Progress, and so on.

  4. Notice that the student has already enrolled into the Study Unit ‘CE104’.

Click to open the Individual Plan Structure (IPS) record for the Study Unit ‘C07.01 - CE104 - Ethics in Action: Foundations of Applied Ethics’.

  5. The Individual Plan Structure tracks the credits earned from completed Study Units and contributes them to the overall program completion.

From the ‘Completion Info’ section, click on the ‘Individual Enrollment’ field to open the record.

  6. Now, let's release the grades for this student.

Update the following fields on the Individual Enrollment record and save the record to release the grades.

Grade Release Status Released
Numerical Grade 78

  1. However, notice that you are thrown with the following error:

“Failed to match Study Grading Scheme based on the grade (Final Numerical Grade or Letter Grade). Please review the configuration.”

What this means is that the system cannot define what Letter Grade should the student earn if they scored 78.

This means there is a missing Study Grading Scheme that needs to be set up.

A Study Grading Scheme is what defines what grade and result corresponds with a particular score range.

  2. Go to the ‘Accounts’ tab, and select the list view ‘C07.01 - Percentage/Letter Grading’ .

Open the University account record that was created for this challenge.

  3. You are now viewing the Account record for ‘C07.01 - RIO University’.

Navigate to the ‘Grade Settings’ tab.

Notice that there are 2 Study Grade Setting records.

One is for Undergraduate programs, while the other is for Postgraduate programs.
This means that the university uses 2 different criteria to grade Undergraduate and Postgraduate students.

  4. Open the Study Grade Setting record ‘C07.01 - Undergraduate Program’.

From the ‘Configuration’ tab, you can see that there are multiple Study Grading Scheme records.

Each defines what Letter Grade a student will earn if they score within a certain Numerical Grade Range.
For example, scoring anywhere between 85 - 100 will earn an “A”.

  5. However, notice that no Study Grading Scheme is defined for the Letter Grade “B”.

Therefore, create a new Study Grade Scheme for Letter grade B with the following details:

Study Grade Setting Name C07.01 - Undergraduate Program B
Study Grade Setting C07.01 - Undergraduate Program
Numerical Grade Lower Range 75.00
Numerical Grade Higher Range 84.90
Letter Grade B
Grade Points 3.00
Letter Grade Scoring Range Higher Range
Grade Results Pass
Exclude Credits Earned No
Exclude GPA Calculation No

  1. You have now defined all the Study Grading Schemes for the “Undergraduate” Study Grade Setting.

This means that all undergraduate Study Units (e.g. courses) will be graded according to this setting.

Let's make sure that all undergraduate Study Units are set up correctly to refer to this setting.

Go to the ‘Study Units’ tab, and select the list view ‘C07.01 - Percentage/Letter Grading’.

  1. Open the Study Unit record ‘C07.01 - AC104 - Advanced Composition Studies’ and review it.

Notice that this Study Unit does not have a defined Study Grade Setting.

So, let's update it to look up to the relevant Study Grade Setting, which in this case, is the “Undergraduate” record.

  1. Now, let's return to grade the student Fred Smith.

Here is a quick refresh on how to get to there:

    1. Open the Individual Program Enrollment record belonging to ‘C07.01 - Fred Smith’.

    2. Go to the ‘Program Completion’ tab.

    3. Open the Individual Plan Structure (IPS) record for the Study Unit ‘C07.01 - CE104 - Ethics in Action: Foundations of Applied Ethics’.

    4. From the ‘Completion Info’ section, click on the ‘Individual Enrollment’ field to open the record.

    5. Update the following fields on the Individual Enrollment to release the grades.
      1. Grade Release Status  = Released
      2. Numerical Grade         = 78

  1. Upon releasing the grade, the following details will be automatically calculated.

The student has scored 78, thus resulting in a Letter Grade of “B”, as per the Study Grading Scheme that we set up earlier in step 11.

  2. Let's grade another Individual Enrollment again.

Return to Fred Smith's Individual Program Enrollment record, and navigate to the ‘Program Completion’ tab.

  3. Open the Individual Plan Structure (IPS) record for the Study Unit ‘C07.01 - AC104 - Advanced Composition Studies’.

  1. Then, find the ‘Completion Info’ section on the Individual Plan Structure record.

Click on the ‘Individual Enrollment’ field to open the record.

  2. You can also directly input the Letter Grade instead of a Numerical Grade.

Update the following fields on the Individual Enrollment and save the record to release the grades.

Grade Release Status Released
Letter Grade  B

  1. Upon releasing the grades, the following details will be automatically calculated as well.

The ‘Study Grade Setting’ field, which was initially blank, has automatically inherited the value from the Study Unit seen in step 13.

  2. Return to the Individual Program Enrollment and check the Program Completion tab to view the result.

Since both were a “Pass”, the Completion Progress has been updated automatically thanks to the credits earned.

And with that, you have successfully released the grades and automatically updated the completion progress.

  3. Congratulations, you have completed the challenge! Click on the 'RIO Challenge v4' tab at the bottom left of the page, and click on 'Complete Challenge'.
