Faculty Setup
Faculty users require a contact record to be set for them. There is a flag "Faculty Member" that is set on that contact record that we use to drive a few things such as page layouts for the Faculty views.
There is also a user field on the contact to link to the user record.
Qualified to Teach
RIO Education has a qualified faculty object in the data model. This is used to link faculty to courses (Units) in the roles that they are qualified to teach. In the Session Scheduler where we assign faculty, we use this qualified faculty link to filter and find faculty who are qualified.
Award
The Award object is used to store Contract or Award information about the contact. This can include whether they are full time or part time, how many hours they are required to teach each week, the pay rate, whether they are entitled for leave/holidays, etc.
Staff leave
We have a staff leave module (objects). Each year a new leave record is created with the Entitlement for the staff member for that year. They can then apply for leave (Leave request) in the community. These applications can be sent through a standard SF approval process. When the leave is approved it automatically deducts the time taken from the entitlement to show leave balances.
The approved leave also show up in the Session Scheduler as unavailable.
Timesheets
There is a module for timesheets in RIO. This is a fairly standard timesheet module where faculty can fill in what hours they have worked each week. We have some automations to populate teaching hours from the teaching roster automatically, and also leave from the approved leave. Using the rates in the Award object we can then also generate detailed files for a pay run if required.
Faculty community
We have a number of components that are for faculty in the community. We have chosen to make a community login the default for faculty members as we can make the experience much cleaner and simpler than a full salesforce login. The components that we offer specifically for faculty include:
Session Calendar - To see classes they are scheduled to teach, and also confirm/reject teaching appointments
Attendance marking component
Grading Component - For schools that want faculty to grade in here rather than the Learning Management System (LMS)
